Revenue per client is not the answer
A client who pays you the most is not the same as a client who makes you the most. A high-revenue client with a heavy subcontractor bill, expensive software seat or a long commute can leave you with less to show for it than a smaller client who costs you almost nothing to serve. Revenue alone cannot tell those two apart. Profit can, but only once the direct cost of serving that client sits right next to what they paid.
What counts as a direct cost per client
A direct cost is money spent because of that specific client, not a general business expense split evenly across all of them. That includes anything you bought in for the job, a subcontractor or freelancer brought on for their work, a software seat or tool licensed specifically for their project, and the mileage or travel driven to serve them. Rent, your own base software subscriptions and anything you would pay regardless of which clients you had belong in your overall profit and loss statement, not here.
What a running loss on one client actually tells you
A client sitting at the bottom of the ranking in red is not a verdict, it is a prompt to look closer. Sometimes the fix is a rate that never caught up with what the work now costs you. Sometimes it is scope that quietly grew past what was originally agreed. Sometimes the honest answer is that the relationship has run its course and it is time to part ways. This page will not tell you which one applies, or what counts as a healthy margin for your kind of work: that depends on your business in a way a generic number never could.

What counts as a direct cost for a client?
A direct cost is money spent specifically because of that client, not a general business expense split across all clients. This includes subcontractors hired for their work, software seats licensed for their project, materials bought for their job, and mileage or travel for their benefit. Rent and base subscriptions are overhead, not direct costs.
Can a client show a loss?
Yes. If direct costs exceed revenue from a client, they show a negative profit. This is a prompt to look closer, not a verdict. The fix might be a rate increase, controlling scope, or a decision to end the relationship.
Should I log this by project or by total client relationship?
This tool logs by client across all their projects together. If you want to see profitability per project instead, use the project budget tracker. This page is useful for seeing which clients are worth your time overall.
Why is a high-revenue client sometimes less profitable than a smaller one?
A high-revenue client with large subcontractor costs, expensive software needs, or difficult logistics can net less profit than a smaller client who costs you almost nothing to serve. Revenue alone does not tell you profitability. Only revenue minus direct cost does.
How do I know if my margin is healthy?
That depends on your business type. A software consultant might target 60% margins, a service business 30%, a product business 40%. This tool will not tell you what is healthy. Compare your margins against similar businesses in your field to see if you are competitive.
